In Order to make your stay as pleasant as possible, the Management requests your co-operation in observing the following as an agreement between the guest and the " The Spot Ottawa" (hereinafter called 'Management') under which rooms are permitted to be used by the guest(s):-

1. At The Spot Ottawa, we are committed to responsible alcohol service. All alcohol is served on our premises by our trained staff members, and we do not permit outside alcohol. We reserve the right to refuse service to anyone who appears intoxicated or under the legal drinking age. Our staff members are here to make sure that your experience is safe, enjoyable, and responsible. 

2. Payment Terms

We require payment of the rental fee and security deposit 1 week before the booking date. The rental fee must be paid in full, while the security deposit is refundable. We accept payments by credit card. Please note that we do not accept personal cheques. Once we receive payment, we will confirm your booking.  

3. Capacity Limits

Our venues have capacity limits in place to ensure the safety and comfort of all guests. The Big Games Room has a maximum occupancy of 30 people, while The Grand Room has a maximum occupancy of 50 people. If you are planning an event, it is your responsibility to ensure that the number of guests does not exceed these limits. We take the safety of our guests very seriously and will not exceed these limits under any circumstances.

4. Guest belongings

We take no responsibility for any belongings that are left behind in our booking space. It is the responsibility of all guests to make sure they have all their items when they leave our premises. We are not responsible for any loss or theft of any items. We strongly advise that you check all areas of the booking space before departing to ensure that no items have been left behind. Please be aware that any items left behind in the booking space will not be held or returned to you. We are not liable for any loss or damage of any items.

5. Departure

Check out time is ( based on hours booked ) please inform The Spot Ottawa if you wish to retain your room beyond this time. The extension will be given depending on the availability. If the room is available, the normal fee plus taxes will be charged. On failure of the guest to vacate the room on expiry or period The Spot Ottawa shall have the right to remove the guest and his/her belongings from the room occupied by the Guest.

6. Pets

We are sorry to inform our customers that pets are not allowed in our booking space. We understand that pets can be a great companion, but for safety reasons, we cannot allow any animals in our space.

7. Hazardous Goods

Bringing goods and/or storing of raw or exposed cinema films, or any other article of a combustible or hazardous nature and/or prohibited goods and/or goods of objectionable nature is prohibited.

The Guest shall be solely liable and responsible to the management, its other guests, invitees visitors, agents and servants for all loss financial or otherwise and damage that may be caused by such articles or as a result of the guests' own negligence and non-observance of any / instructions.

Gambling, contraband, prostitution, weapons, explosives, flammable objects, poisons, drugs, animals and pungent food are strictly prohibited on the premises.

8. Damage to Property & Deposit Fee

The guest will be held responsible for any loss or damage to the property caused by themselves, their guests or any person for whom they are responsible.  A deposit of $300 is required to be paid along with the rental fee. The deposit fee will be refunded after the event, provided that the venue is left in its original condition. 

9. Set-Up & Clean-Up

The renter will be responsible for the setup & cleanup of the venue. All decorations, equipment, and personal belongings must be removed. 

10. Decorations and Modifications

Renter is allowed to bring their own decorations, but must be removed at the end of the rental period. Screws, nails, tape and any other permanent modifications to the venue are not permitted. Damage that may occur due to using any such items will result in a compensation to fix or replace.

11. Management's Rights

It is agreed that the guest will conduct him/ herself in a respectable manner and will not cause any nuisance or annoyance within the premise.

The Spot Ottawa has the right to request any guest to vacate his/her room or other areas forthwith, Without previous notice and without assigning any reason whatsoever, and the guest shall be bound to vacate when requested to do so. In case of the default, The Spot Ottawa has the right to remove the Guest belongings from the room occupied by him/her.

12. Relation between The Spot Ottawa and Guest

Nothing hereinabove shall continue or be deemed to constitute, or create any tenancy or sub-tenancy, or any other right to interact on the premises or any part of portion thereof, in favour of any Guest or visitor, and The Spot Ottawa shall always be deemed to be in full and absolute possession of the whole of the premises.

13. Government rules and regulations and application of laws

Guest are requested to observe, abide by confirm to and be bound by all applicable acts and laws and Government rules and regulations in force from time to time.

14. Cancellation Policy 

While we do our best to accommodate changes to your booking, we require notice of cancellation at least (2 weeks) 14 days prior to your scheduled date. If you cancel within this timeframe, we will retain 25% of the reservation amount. If you cancel within 5 days of your booking, we will retain 50% of the reservation amount. We thank you for your understanding that our business depends on bookings and cancellations can impact our operation. If you have any questions regarding our cancellation policy, please do not hesitate to contact us.

15. Booking Restriction

When making a reservation at The Spot Ottawa, please remember that the person making the reservation must be 25 years old or older. We understand that this policy may cause inconvenience, but it is in place to ensure the safety and security of all our guests. We appreciate your cooperation and look forward to hosting your event.
